We are currently seeking a Rental Administrator to join our busy New York Rental team. This client-facing role is central to supporting rental operations by coordinating equipment bookings, handling sub-rentals, processing payments, and maintaining accurate records. This role also provides a high-touch customer experience—greeting clients, answering inquiries, and assisting with sales of expendables—while also serving as a key liaison between departments and external partners. The position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced production environment.

This key position will encompass the following responsibilities: 

  • Provide a warm, professional, and welcoming experience for clients, guests, and employees both in person and over the phone.
  • Serve as the central point of contact, maintaining awareness of daily activities and ensuring smooth communication between departments, customers, and visitors.
  • Greet and assist walk-in clients by offering information, answering questions, and escorting them to the appropriate department.
  • Answer, screen, and route incoming calls; respond to client inquiries in a timely and helpful manner.
  • Support expendables sales by facilitating purchases, maintaining accurate inventory, and restocking the showroom as needed.
  • Ensure the reception and front office areas remain organized, clean, and presentable at all times.
  • Manage sub-rental requests from other rental houses, including sourcing and coordinating required equipment for Abel jobs.
  • Verify and input client insurance certificates into the system for rental compliance.
  • Process and reconcile rental invoices, collect payments, and email final rental forms to clients prior to equipment release.
  • Establish and maintain strong professional relationships with partner rental houses and vendors.
  • Coordinate pickups and returns with internal teams and external couriers to ensure timely deliveries.
  • Prepare accurate quotations, schedule equipment for client projects, and provide logistical support throughout the rental process.
  • Step in to support rental agents and fill gaps as needed to ensure smooth operations.
  • Open and close the facility as needed

Requirements for the successful applicant:

  • Bachelor's degree or equivalent technical, hands-on experience in Video/Film industry
  • Prior rental house experience is strongly desired
  • Comprehension of proper terminology and technical details, with ability to understand equipment compatibility issues
  • 1-2 years of verifiable success in a customer service/ administrative position. Candidates must posses and demonstrate a polite, friendly demeanor to establish an upbeat and professional rapport with clients
  • Exceptional communication skills, including professional correspondence skills [grammar, spelling, etc.] are a must
  • Organization and attention to details are also a must
  • Ability to multi-task: handle multiple phone lines, email, fax, etc
  • Strong computer skills and Macintosh experience. Experience with Filemaker Pro a plus. 
  • Flexibility with hours is a big plus

Physical Effort:

  • Prolonged sitting and standing work at a computer, requiring frequent use of monitors
  • Manual dexterity and mobility are required
  • Standing and walking for the duration of the work shift
  • Frequent bending, reaching, and standing 
  • Occasionally lift, move, and control equipment cases weighing up to 70 lbs.

Location: Brooklyn, NY 

Status: Full-Time, On-Site, Non-Exempt

Compensation Range: $50,000 - $54,000
